Privacy Policy

Overview

Fieldlok LLC ("Fieldlok", "we", "us") operates the Fieldlok mobile application and web dashboard (collectively, the "Service"). This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

By using the Service, you agree to the practices described in this policy. If you do not agree, please discontinue use of the Service.

Information We Collect

Account Information

When an account is created for you by an administrator, we collect your email address and your assigned role (e.g. vendor, technician, manager). We do not collect payment card information directly.

Work Order and Job Data

The Service stores work order details, cost estimates, job notes, parts information, and completion records that you enter while using the app. This data is associated with your account and shared with the property management organization you work with.

Location Data

The app may request access to your device's location when you scan a unit QR code, in order to confirm you are on-site. Location data is not stored or transmitted beyond the individual scan event. Location access is optional and can be denied without affecting core app functionality.

Photos

If you attach photos to work order comments or job records, those images are uploaded and stored securely in our cloud storage. Photos are accessible only to authenticated users within your organization.

Device and Usage Data

We collect crash reports and error logs via Sentry to help us identify and fix technical issues. These logs may include device type, operating system version, and app version. They do not include personally identifiable information beyond your user ID.

How We Use Your Information

We use the information we collect to:

• Provide and operate the Service
• Allow property managers to assign and track work orders
• Allow vendors to view assignments and submit billing
• Diagnose and fix technical problems
• Communicate with you about your account when necessary

We do not sell your personal information to third parties. We do not use your data for advertising purposes.

Data Storage and Security

Your data is stored in Supabase, a managed database and authentication platform hosted on AWS infrastructure in the United States. Data is encrypted in transit using TLS and encrypted at rest. Access is controlled through row-level security policies that ensure users can only access data belonging to their organization.

Third-Party Services

The Service uses the following third-party providers:

• Supabase — database, authentication, and file storage
• Sentry — error monitoring and crash reporting
• Expo / EAS — mobile app build and delivery infrastructure

Each provider has their own privacy policy governing their handling of data. We do not share your data with any other third parties except as required by law.

Data Retention

We retain your account data for as long as your account is active or as needed to provide the Service. Work order records and job history are retained to support billing, auditing, and operational continuity. You may request deletion of your account and associated personal data by contacting us at the address below.

Your Rights

You have the right to:

• Request access to the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your account and personal data
• Withdraw consent for optional data collection (such as location)

Children's Privacy

The Service is intended for use by adults in a professional context. We do not knowingly collect personal information from anyone under the age of 13. If you believe a minor has provided us with personal information, please contact us and we will delete it promptly.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of the Service after any changes constitutes acceptance of the updated policy.
